The Problem with Manual Narcotics Registers

Manual narcotics registers require nurses and pharmacists to hand-record every vial removed, every dose administered, every residue returned and every witness signature. In a busy ICU or operating theatre, this process consumes clinical time, introduces transcription errors and creates gaps in the chain of custody that are difficult to investigate after the fact.

When a discrepancy appears — a missing vial, an unexplained count difference, a signature that cannot be verified — the investigation relies entirely on what was written down, by whom, and when. In high-pressure clinical environments, that record is rarely complete.

What an RFID Fentanyl Cabinet Does Differently

An RFID smart cabinet replaces the paper register with an automatic, electronic record of every medicine movement.

Each fentanyl or narcotics vial is assigned a passive UHF RFID tag. When the vial is placed inside the cabinet, the drawer antenna detects the tag and records it in the live inventory. When the vial is removed, the system detects its absence and logs the event — along with the authenticated user, the drawer accessed, the date and the time.

No handwriting. No countersignature delay. No end-of-shift reconciliation from memory.

The RIFE HN-series cabinets use one dedicated RFID antenna per drawer, creating a defined reading zone for each compartment. This drawer-level architecture means the system can identify not just that a vial was removed, but which drawer it came from — supporting more precise reconciliation and investigation.

Biometric Access and Dual-User Verification

The HN-series cabinets can support multiple authentication methods, configurable to the hospital's security policy:

  • Face recognition with liveness detection
  • Fingerprint verification
  • RFID or IC staff card
  • PIN

For higher-security workflows — such as fentanyl dispensing in an OT or ICU — the cabinet can be configured to require two authorised users to authenticate before a drawer is released. This supports witnessed-access requirements without requiring a second staff member to physically countersign a paper register.

Only the approved drawer opens. All remaining drawers stay locked throughout the transaction.

What the Electronic Audit Trail Records

Every transaction can be transferred to the central management platform with the following information:

  • Primary user identity
  • Second witness identity (where dual-user is configured)
  • Medicine identity, batch and expiry
  • Drawer accessed
  • Date and time
  • Return or wastage status
  • Video-linked recording (where camera is enabled)

This creates a searchable, exportable audit record that supports daily reconciliation, periodic inspection and investigation of discrepancies — without relying on handwritten entries.

Expiry and Stock Alerts

The management platform can generate alerts for:

  • Near-expiry medicines
  • Expired medicines in cabinet
  • Stock below minimum level
  • Unexplained count differences
  • Unauthorised access attempts
  • Cabinet communication failure

These alerts can support first-expiry-first-out dispensing practices and reduce avoidable wastage from undetected expired stock.

Integration with Hospital Systems

The HN-series cabinets may support integration with hospital information systems (HIS), electronic medical records (EMR), pharmacy management software and patient prescription systems, subject to interface scope and project requirements.
