Discuss an RFID pilot

An RFID project should begin with a clearly defined operational problem—not a tag purchase. Decide whether you need periodic inventory, doorway-level movement history, room-level location or near-real-time positioning; each objective requires a different architecture.

1. Select the assets and outcome

  • List assets by value, mobility, utilisation and clinical impact when unavailable.
  • Record search time, rental cost, loss, maintenance delays and excess purchasing.
  • Choose one measurable pilot outcome, such as reducing time spent locating infusion pumps.
  • Define the accuracy and update frequency that users genuinely need.

2. Choose passive, active or hybrid RFID

Passive RFID

Low-maintenance tags activated by a reader. Useful for inventory checks and movement through controlled read points.

Active RFID

Battery-powered tags that transmit periodically. Consider when frequent location updates are required.

Hybrid architecture

Use different technologies for different asset classes while maintaining a common inventory record.

3. Map zones and read points

Walk the facility with biomedical, nursing, IT and infection-control teams. Identify stores, wards, lifts, exits, maintenance areas and clinical rooms. Metal, liquids, walls, equipment density and staff movement can affect performance, so a physical site survey is essential.

4. Tag engineering

  • Match tag type and attachment method to cleaning chemicals, impact, metal surfaces and sterilisation.
  • Place tags where they remain readable without blocking labels, controls or service access.
  • Define replacement, reassignment and damaged-tag procedures.
  • Use a unique asset identity that links to ownership, maintenance and location records.

5. Software, privacy and integration

Clarify which platform is the system of record and how RFID events reach the CMMS, ERP or hospital asset register. Use role-based access, retention rules, audit logs and network segmentation. Track equipment—not staff or patients—unless a separately governed and lawful use case exists.

Pilot acceptance criteria: include location accuracy, missed-read rate, false alerts, search-time reduction, battery or tag maintenance, staff adoption and integration reliability.

6. Rollout roadmap

  1. Baseline current performance.
  2. Pilot one asset class and department.
  3. Correct tag and reader placement.
  4. Train clinical and support teams.
  5. Verify reports and maintenance workflows.
  6. Scale only after acceptance criteria are met.
