Medication Cart Lock & Access-Control Selection Checklist
A practical specification guide for nursing leadership, pharmacy, biomedical engineering and hospital procurement teams.

Before buying a medication trolley, establish who will use it, where it will be parked, and which medicines require controlled access. The appropriate locking configuration depends on the exact trolley model and your hospital's medication policy.
1. Define the clinical workflow
- Nursing rounds: expected drawer-opening frequency, shift handover and cart mobility.
- Pharmacy: restocking, segregation, reconciliation and restricted-medicine requirements.
- Biomedical: lock serviceability, caster brakes, materials, cleaning and power needs if applicable.
2. Evaluate locking choices
| Option | Procurement questions |
|---|---|
| Mechanical keyed | How will spare keys, custody and replacement be managed? |
| Combination or keypad | Is it offered on the exact model, and how are user codes updated? |
| Electronic credential | Are credentials, logs and emergency access available in the proposed configuration? |
| Individual drawer security | Does each compartment require distinct access, or is whole-cart locking sufficient? |
3. Request a specification sheet
Confirm actual cart dimensions, drawer count and interior dimensions, lock type, cleaning directions, caster braking, weight capacity, warranty and replacement parts. For electronic options, request power and integration documentation rather than assuming compatibility.
4. Conduct a pre-purchase assessment
Test a simulated medication round, staff handover, lost credential or key, drawer labeling and cleaning workflow. Record any configuration adjustments before placing an order.
